The digital signature

Post by ayeshshiddika11 »

In order to invoice electronically with all legal guarantees, a digital signature is required , which has the same value as a handwritten signature. The electronic signature guarantees the authenticity of the signatory in each telematic transaction.

The electronic signature can be simple, advanced, or with a digital certificate.

The simple signature
It is usually used when accepting terms of use, and not on invoices. It is not a stroke as such, but basically consists of clicking on a button or box on a website, or entering a PIN code. Therefore, its legal validity is not guaranteed, since it does not allow the user to be identified unequivocally.

The advanced signature
It has a higher level of security than a simple signature. The signature is drawn by collecting biometric data from the user, such as the pressure, inclination and position of the pen. This ensures verification of the identity and integrity of the signed data.

Signature with digital certificate
This is the one that offers the highest level of security. It is based on an electronic certificate recognized by the competent ministry that validates the signature itself and the identity of greece phone data the signatory. The electronic certificate is requested online through the National Mint and Stamp Factory website .

What format should be used for the digital invoice?
For the digital invoice to travel electronically, it needs a file format.

There is no single format for electronic invoices. XML, PDF, HTML, DOC, XLS, JPEG, GIF or TXT can be used, among others.

The unstructured PDF format is usually used when the recipient is an individual, a professional or an SME whose purpose is to electronically save the invoice.

For its part, the General State Administration requires that it be in XML structured format with a specific file structure known as the “ facturae ” format.

It goes without saying that every electronic invoice, regardless of its format, requires an electronic signature for the invoice to be considered legal.
